RMA POLICY
AT UV RESOURCES, we want every return and replacement request to be fast, fair, and frustration-free. To help our team process your RMA as quickly as possible, please review the guidelines below. The more information you provide upfront, the sooner we can evaluate your equipment, issue a replacement, or process your return so you can get back up and running.
RMA & RETURN REQUIREMENTS
Returns are accepted for all unopened items within 30 days of the ship date, and all products must arrive in their original condition—including any shrink-wrapped or sealed items, which must remain unopened. All returns require a pre-approved Return Merchandise Authorization (RMA) issued by our Customer Service team or your Regional Sales Manager. Returned items must be shipped prepaid, as UV Resources cannot accept COD deliveries, and all shipping fees are non-refundable. Promotional items are considered final sale and are not eligible for return. All approved returns are subject to a 30% restocking fee.
REPLACEMENT & WARRANTY PROCESSING
If your request involves a warranty claim, please include proof of purchase, clear photos of the issue, and a brief description of the problem. UV Resources covers return shipping for valid warranty claims. If you prefer an immediate replacement, the defective product must be received within 30 days of the RMA being issued; otherwise, your account may be charged for the replacement unit. Warranty coverage applies strictly to defective performance—broken lamps are not covered under warranty, as outlined in our lamp warranty guidelines.

DAMAGED – DEFECTIVE LAMPS
SHIPPING DAMAGE:
If products arrive visibly damaged, the receiving party must notify the FedEx delivery driver immediately upon receipt. UV Resources must also be notified within four (4) business days of delivery. Please document all damage with clear photos of both the outer packaging and the product inside. After the 4-day window, UV Resources is unable to assist in filing a claim with FedEx.
Note: When receiving FEP (EncapsuLamp™) coated lamps, shaking the box may not reveal breakage due to the protective coating. A physical inspection is required.
⚠️ DAMAGED UVC LAMP: IMMEDIATE SAFETY & HANDLING
If a UVC lamp arrives broken or is damaged, STOP IMMEDIATELY and DO NOT USE BROKEN LAMPS. Handle the lamp with extreme care to avoid glass fragments and mercury vapor. Note: Hazards may exist even if the lamp is encapsulated.

Secure Yourself: Put on gloves and eye protection.

Ventilate: Open a window or door for 5–10 minutes to ventilate the area; keep the HVAC system off.

Contain Hazard: Carefully scoop all debris using stiff cardboard or tape (do not use a regular vacuum). Place all fragments and cleanup materials into a sealed, heavy bag and label it “Universal Waste—Lamps.”

Document & Contact: Take clear photographs for your claim. Securely store the sealed bag and notify us immediately.

All damaged or defective products require a photo to be submitted with this claim form. For lamps, please include the date code and a clear, full-length photo of the lamp(s). This can be done in your RMA form.
